Refresh North Texasis a 501(c)(3) nonprofit organization (“Refresh NTX,” “we,” “our,” or “us”) that provides period and hygiene products to students in North Texas schools through a parent-enrollment program. This Privacy Policy explains what information we collect from families and school staff, how we use it, and the choices you have.
By enrolling a student or creating an account, you agree to the practices described here.
Information We Collect
From parents and guardians: name, email address, phone number, mailing address, and the name of the school your student attends.
About your student: first and last name, date of birth, grade level, school, district, school-assigned student ID, and product preferences you select (such as hair-care, menstrual product, and related preferences).
Automatically, when you use our site: sign-in timestamps, session cookies required to keep you logged in, and basic request logs (IP address, browser, page visited) used to diagnose errors and prevent abuse.
How We Use Information
- Enroll students and match them to Refresh NTX program pack codes and fulfillment cycles.
- Coordinate product distribution with participating schools and school districts.
- Communicate with parents about their enrollment, product deliveries, and the program generally.
- Maintain audit records of changes to household and student records for accountability and fraud prevention.
- Improve the security and reliability of our service.
We do not sell personal information, and we do not use student or household data for advertising.
Children's Privacy
The Refresh NTX portal is operated by and for parents and guardians. We do not knowingly collect information directly from children. All information about a student is entered on the student's behalf by a parent, guardian, or authorized school staff member.
If you believe a child has provided personal information to us directly, please contact us at info@refreshntx.org and we will take steps to delete it.
Sharing With Schools and Districts
When your student is enrolled at a participating school, we share relevant enrollment details (student name, grade, school ID, and product-preference-derived pack code) with authorized staff at that school and its district so they can receive and distribute products to your student. Refresh NTX may act as a service provider to the school for these purposes.
We do not share personal information with any other third parties except the service providers listed below, or where required by law.
Service Providers
We use a small number of trusted vendors to operate the Refresh NTX platform. Each is contractually obligated to protect your information and to use it only on our behalf:
- Supabase — database and authentication (hosted in the United States).
- Vercel — application hosting and delivery.
- Google — optional sign-in via Google OAuth for parents and staff who choose to use it. If you sign in with Google, we receive your name, email address, and profile photo from Google. We do not request access to Gmail, Drive, Calendar, or any other Google service.
Data Retention
We retain household and student records for as long as a family is actively participating in the program, and for up to 7 years after the last activity, for recordkeeping, reporting, and grant-compliance purposes. After that period, records are deleted or anonymized.
Audit log entries (who changed what, and when) may be retained longer where necessary to investigate fraud or comply with legal obligations.
Your Choices and Rights
You can access and update most household and student information directly from your Refresh NTX household account. You may also request that we:
- provide a copy of the information we hold about your family;
- correct information that is inaccurate;
- delete your household record and your student's records;
- stop using your information for non-essential purposes.
To make a request, email info@refreshntx.org. We will respond within a reasonable time, and in any case within the timeframe required by applicable law.
Security
We use industry-standard measures to protect your information, including encrypted connections (HTTPS), encrypted storage at rest, role-based access controls, and audit logging of changes to sensitive records. No online service can be 100% secure, so we encourage you to use a strong, unique password (or Google sign-in) and to notify us immediately if you suspect unauthorized access to your account.
Cookies
We use only the cookies required to keep you signed in and to operate the service. We do not use advertising, cross-site tracking, or third-party analytics cookies.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Effective” date at the top of this page and, for material changes, notify enrolled parents by email.
